HPOD Print Driver Privacy Notice

Introduction

This Privacy Notice explains how the HPOD Print Driver ("the Application") processes personal information when used to submit documents to the HPOD hybrid mail platform.

Information We Process

The HPOD Print Driver may process the following information:
User Information

  • User email address

  • Authentication credentials (or Single Sign-On tokens where configured)

  • User account identifiers

Document Information

Documents selected by the user for submission may contain personal or business information. The content of submitted documents is processed solely to enable delivery to the HPOD service and onward fulfilment in accordance with the customer's instructions.

Technical Information

The Application may generate and transmit:

  • Application version information

  • Operating system information

  • Diagnostic and error messages

  • Connection and transaction logs

Purpose of Processing

We process information for the following purposes:

  • Authenticating authorised users

  • Uploading documents to the HPOD platform

  • Providing print, mail and digital communication services

  • Maintaining service security

  • Diagnosing technical issues

  • Auditing and reporting service activity

Data Sharing

Information transmitted by the Application is shared only with:

  • The customer's HPOD environment

  • Paperpost Limited (where Paperpost provides hosting or support services)

  • Approved infrastructure providers used to operate the HPOD service, such as Microsoft Azure

We do not sell personal information to third parties.

Data Security

Data transmitted by the Application is encrypted during transmission using industry-standard TLS encryption.
Where documents are stored within the HPOD platform, they are protected using security controls including encryption and access controls.

Data Retention

The Print Driver itself does not permanently store submitted documents.

Information retained within HPOD is subject to the retention policies defined by the customer operating the HPOD service.
Technical logs may be retained for operational, security and support purposes for a limited period.

User Rights

Where applicable under UK GDPR or EU GDPR, users have the right to:

  • Request access to personal information

  • Request correction of inaccurate information

  • Request deletion of personal information

  • Restrict or object to processing

  • Lodge a complaint with a relevant supervisory authority

Requests should be directed to the organisation operating the HPOD service or to Paperpost Limited where Paperpost acts as the data processor.
